Terms & Conditions
Emerald Coast Vacation Rentals & Sales

Reservations:
Reservations can be made up to one (1) year in advance. Rates and properties are subject to change without notice. Rates and properties are not guaranteed.

Advanced Payment:
An advanced reservation payment of fifty (50) percent is required to confirm your reservation at time of booking. Advanced reservation payments are not damage deposits. Advanced reservation payments are made by credit card. Any remaining balances are due thirty (30) days prior to arrival date. Balances not paid by the due date will be automatically applied to the credit card on file. Reservations made within thirty (30) days of arrival date require full payment at time of booking.

Confirmations:
Upon receipt of your advanced reservation payment, your reservation confirmation will be e-mailed to you. Enclosed will be directions, arrival instructions, late arrival instructions, and other information needed for check-in.

Rates:
All published rates are based on specific property location, size, and amenities. Rates are subject to change without notice. Emerald Coast Vacation Rentals reserves the right to correct rates that may have been misquoted regardless of how the error was made.

Property Assignments:
When making a reservation guests will be given a specific property code. Emerald Coast Vacation Rentals reserves the right to switch your property code at any time due to unforeseen circumstances.  If an unacceptable change is made to your selected property, you can also request a full refund.

Taxes:
Florida sales tax varies and is configured according to each county. Taxes are subject to change and will be reassessed to each reservation. Guests are responsible for paying all applicable taxes in full prior to checking in.
 
Processing Fees:
A non-refundable processing fee of five (5) percent will be charged to all reservations.

Additional Fees:
A non-refundable housekeeping fee will be charged to all reservations. Housekeeping fees vary on the size of the property. Properties left in extremely dirty or abused condition will be subject to additional cleaning fees.

Cancellation
It is strongly encouraged that all guests purchase Generali Travel Protection Insurance. Any guests choosing not to purchase Travel Insurance may only cancel 60 days prior to their scheduled arrival date and receive a refund of the advanced payment, minus a 10% cancellation fee.   Guests cancelling inside 60 days from their scheduled arrival date are not eligible for a refund. Emerald Coast Vacation Rentals does not give refunds for Man-Made and/or Technological disasters or Pandemics. 

Generali Travel Protection Insurance:
Emerald Coast Vacation Rentals offers Generali travel cancellation/interruption insurance to every guest. Generali insurance is optional but is strongly recommended. Please note that pre-existing health conditions may not be covered. No refunds will be made in the event of a mandatory evacuation if guest does not purchase Generali insurance. For questions concerning the travel insurance, please call Generali directly at 800-554-9839. The insurance premium is non-refundable and non-transferable.

Monthly Winter Guests Advanced Payment:
Guests who rent on a month-to-month basis in the Winter are required to make an advanced payment of 50% that will be applied to their last month's rent.  Each month's rent is due 30-days prior to the start of that month.  The onetime cleaning fee will also be added to the first month's rent.  Normal cancelation policies will apply.


Hurricanes/Tropical Storms:
No refunds will be made due to Hurricanes or Tropical Storms, even in the event of mandatory evacuations. Refunds for Hurricanes or Tropical Storm evacuations are only given through Generali Travel Protection Insurance.

Check-In Time:
Check-in time is Between 4 p.m. - 6 p.m. Local Time. In some cases, access to your property may be unavoidably delayed due to cleaning or maintenance issues (especially during high-demand seasons). Emerald Coast Vacation Rentals makes it a priority to expedite this process, but will under no circumstances issue compensation for check-ins after 4 P.M.

Check-out Time:
Check-out time is no later than 10 a.m. Local Time on the scheduled day of departure. Any guests departing after 10 a.m. will be subject to an additional fee. Guests are expected to leave the properties in neat condition, take out all trash and clean all dishes. If a property is left excessively dirty guests will incur additional charges.

Family Rentals Only:
All properties are for family rentals only. No properties will be rented to vacationing students or adults under the age of 25 who are unaccompanied by a responsible parent or guardian. A PARENT OR GUARDIAN MUST BE STAYING IN THE PROPERTY AT ALL TIMES. ANY VIOLATERS WILL BE EVICTED AND FORFEIT ALL RENTAL PAYMENTS AND DEPOSITS. THIS POLICY INCLUDES RESERVATIONS MADE BY PARENTS OR GUARDIANS WHO CHECK UNDERAGE GUESTS IN, THEN LEAVE BEFORE THE ENTIRE STAY IS COMPLETED. In accordance with Florida State Statute 509.141, reservations made under false pretense are null and void and check-in will not be allowed.

Property Damage:
An active credit card is required to be held on file in the event of property damage. Additionally, a Vacation Rental Damage Protection Fee is charged on every reservation. This is a $45.00 non-refundable fee (Peace of Mind Protection) that will cover each guest up to $2,000 worth of accidental damage. Accidental damage MUST be reported and disclosed to management prior to check-out to be considered accidental. Missing or lost items are not considered accidental damage and will be subject to guest charge at replacement cost. Intentional damage of any amount is not covered under the Peace of Mind Protection Fee and will result in the credit card on file being charged for the full amount of the damages at replacement cost. Any accidental damage exceeding $2,000 will be charged to the credit card on file. Any damage noticed upon arrival must be reported immediately to our office. By making a reservation with Emerald Coast Vacation Rentals you hereby waive your right to dispute any charges that are made to your credit card regarding the terms of this policy or in violation thereof.

Minimum Stay Requirements:
Most properties require seven (7) night minimums. In some cases, a minimum stay of 3 nights will be allowed. Guests are encouraged to speak with a representative before making reservations.

Keys:
Most properties are keyless, and a 6-digit door code will be emailed upon booking.  Keys, Key Cards, or Keys Fobs (if applicable) must be returned to Emerald Coast Vacation Rentals at check-out to the office they are picked up at. Guests will be charged $50 for each not returned. 

Pets:
In most properties pets are not allowed. Pets are allowed only in properties designated “Pet-Friendly” for an additional fee. Pet owners will be held financially responsible for any damages and/or extra cleaning as a result of their pets. For all properties that are not pet friendly a fee of $250 or more will be added to your credit card if it is determined a pet was in the property.

Service Animals: 
A service animal is allowed to accompany a guest into a property that is not usually pet-friendly. (Note: Emotional support, therapy, comfort and/or companion animals are not considered service animals under ADA guidelines.) In order to verify that the animal in question is a service animal, the ADA allows places of public accommodations to document answers to two questions:  1) Is the animal required because of a disability?  2) What work or task has the animal been trained to perform?  If you plan to travel with your service animal, please be prepared to answer these two questions so that we may document this for the property owner.

Smoking:
Smoking is not allowed in any property managed by Emerald Coast Vacation Rentals. Any guests found to be in violation of this policy will be billed an additional fee and subject to eviction.

Subletting:
Reservations are not transferrable.

Maintenance:
Please report any maintenance issues to our office during your stay. Maintenance orders will be handled in the order they are received. Emerald Coast Vacation Rentals staff and authorized vendors may enter the properties to respond to any maintenance or housekeeping issues during your stay. There are NO refunds or adjustments for maintenance issues or unforeseen failures such as the supply of electricity, water, telephone, television, cable or satellite providers, appliances, or air conditioning.

Internet:
Most properties include Internet access at no additional fee. Emerald Coast Vacation Rentals does not, however, guarantee internet connectivity. If a guest does access any internet content during your stay you do so at your own risk and are responsible for ensuring that any accessed material does not violate laws regarding copyright, trademarks, pornography or any material deemed slanderous, defamatory or offensive. No refunds will be given due to loss or interruption of internet service.

Grills & Firepits:

Private grills, community grills, and firepits are available at select properties as a courtesy and are to be used solely at your own risk. Propane, charcoal, wood, and grilling utensils, as well as proper grill and firepit usage, are your responsibility. Emerald Coast Vacation Rentals is strictly prohibited from refiling or replacing empty propane containers. Grills and firepits are not disassembled or deep cleaned in between guests. Homeowner Associations may prohibit and/or restrict grills and firepits. For details on availability and restrictions, please visit the individual page for your property.


What do you need to bring on your Vacation? 
Emerald Coast Vacation Rentals properties are stocked with many of the comforts of home, including bedding and kitchen essentials such as dishware and utensils.  Upon arriving for your vacation, you will find your rental has been stocked with an initial supply of toilet paper, paper towels, hand soap and trash bags. These should get you through your first 24 hours, but you will want to pick up additional supplies to get you through the remainder of your stay. Napkins, condiments, cooking spices and coffee filters are other things you may want to purchase while at the store.  Other items you might want to consider bringing, or renting from a local company, include cribs, pack-n-plays, highchairs and any other items required by the youngest travelers in your group. And, while bath towels are provided, beach towels are not, so be sure to bring yours from home. 

Neighborhood/HOA Rules:
Most neighborhoods and/or buildings are controlled by a Homeowner Association. These associations have strict rules in many cases regarding parking, garbage removal, towels hanging from balconies, trailers and RVs. For questions about restrictions in neighborhoods please contact an Emerald Coast Vacation Rentals representative. In the event of non-compliance guests are responsible for any fines that may be imposed. Guests are encouraged to be good neighbors.

Construction:

Emerald Coast Vacation Rentals cannot predict construction plans in the area and therefore, cannot be held responsible for any inconvenience. No refunds will be given in the event of nearby construction or on-site construction required by homeowner associations to preserve the integrity of the building or structure.

 

Beach Rules:

Please help us in keeping our beaches beautiful. Remove all umbrellas, chairs, and toys from the beach each day. Items left on the beach after sunset or placed on the beach before sunrise will be removed by Code Enforcement and may not be recoverable. Select beaches do not permit the use of tents, canopies, or personal umbrellas.  Please consult the beach attendant or signage for additional regulations. Observe the warning flags posted at every public access for your safety.

Individual Properties:
Although each property will be completely equipped for rental purposes, we cannot accept responsibility for aesthetic conflicts. All properties are privately owned. Emerald Coast Vacation Rentals reserves the right to change properties for any reason. *Should an owner of any property elect to remove their property from our rental program, the guest shall not hold Emerald Coast Vacation Rentals & Sales liable. In such an instance, the guest will be relocated to comparable accommodations determined by the Rental Agency or offered a full refund. 

Special Events:
Weddings and special events are not permitted at most properties. Some events require permits and/or approval from associations and in many instances an additional fee may be required based upon the event and property. It is the guest responsibility to contact the corresponding associations and/or representatives to ensure compliance.

Pool Policies:
Renters accept all responsibility for the risk of using pools and Jacuzzis. Diving or jumping into pools or Jacuzzis may result in head, neck or spinal injuries. Guests must accompany all minors in their party to pools and Jacuzzis. Community or condominium pools are not controlled by Emerald Coast Vacation Rentals Therefore Emerald Coast Vacation Rentals cannot be held responsible for any inconveniences resulting from the pool(s).

Disclaimer
The Renter agrees that Emerald Coast Vacation Rentals & Sales shall not be liable to Renter, Renter’s Guests, Invitees or any Person for any injury, loss or damage to any Person or Property on or about the rental premises. Renter shall hold Emerald Coast Vacation Rentals & Sales harmless and indemnified from and against all loss or damage occasioned by use, misuses or abuse of any part of or fixture on the premises, surrounding areas and from or against any omission, neglect or default of the Renter, his/her Guests or Invitees. The Renter acknowledges that Emerald Coast Vacation Rentals acts solely in the capacity of Agent for the property owner, assumes no liability hereunder.
